How to Request Shared Mailbox

  1. In Online Toolkit, go to Request Hub > External Identity and select Shared Mailbox.

A request portal page displays the Create Identity option within the Request Hub, with the Shared Mailbox tile highlighted. The highlighted selection indicates where users can begin a request to create a new shared mailbox.

  1. Enter the desired Display name, Mailbox name and Description. Click Next.

A Shared Mailbox request form prompts users to enter required mailbox details, including the mailbox display name, mailbox name, and description. The form also displays sponsor information and allows users to select a different manager before proceeding.

  1.  Click Next

A Set Additional Details page for a shared mailbox request allows users to specify a start date and configure the mailbox as permanent. The Next button is highlighted to indicate the step for continuing to the request summary and review page.

  1. Verify everything is correct and click submit.

A Summary page displays the details of a shared mailbox request, including the target system, mailbox display name, mailbox name, description, sponsor information, and access period. The Submit button is highlighted to indicate the final step for submitting the request.​​​​​​​

  1. Enter a business justification and click submit.

​​​​​​​A business justification dialog prompts the user to enter a reason for creating the requested NetID or shared mailbox. The form includes a required Reason text box and Close and Submit buttons for completing the request.​​​​​​​
