Purpose
As your department's CRP Department Contact, you recently submitted a Computer Replacement Program (CRP) computer request. As part of the Computer Lifecycle Management policy, the Division of Information Technology is now requiring participating departments in the FY26 CRP Cycle to exchange one obsolete, unsupported computer within 30 days of receiving a new CRP computer. You do not need to exchange the computer until after the new CRP computer has been delivered to you; however, using this form, you must designate a computer you intend to exchange before the CRP computer is delivered.
Valid business reasons will be considered for an exception to this policy. ITAC will review your request, and if an exception is made, it will be be recorded on the CRP request and this ticket will be closed. Exception examples include the following:
- All computers on the list are actively being used, and the department has no other spares.
- The computer is an active research system or is grant funded.
Important
If a computer does not meet the exception criteria and meets any of the following conditions, it must be exchanged:
- It cannot run a currently supported operating system
- It is seven years old or older
- It is no longer in active use for university business and is being kept only as a spare or just-in-case device
Process
Below is the CRP process and how the computer exchange process fits into it.
IMPORTANT: This form must be submitted before your new CRP computer is ordered.

Using the CRP Application, CRP Department Contact selects a CRP computer for an eligible employee in their department.

An email is sent to the CRP Department Contact with a link to this CRP Computer Exchange Designation form.

The CRP Department Contact submits the form with the below information or submits an exception request.

A second ticket will be created for the intended computer exchange and held until the new CRP computer is delivered, or if an exception is made, the second ticket will be closed.

The new CRP computer request is processed, the computer is delivered, and the CRP computer order ticket will be closed.

After the new CRP computer is delivered to the department, unless an exception is made, ITAC will use the Computer Exchange Designation ticket to coordinate receiving the old computer.
